Over the past few years we have seen a number of our clients move to outsourcing their Internal Audit functions. Often, our relationship is with the internal employees who hold responsibility for policyIQ with the company. As companies experience turnover, inevitably the responsible parties become unfamiliar with the decisions behind the policyIQ configuration and agreement. We want to partner better with you to optimize your use of policyIQ while also helping you to stay on top of costs related to your internal audit work.
First, be sure that your internal audit team is aware of the resources available to help them with policyIQ. Encourage your advanced users to reach out to support@policyIQ.com with any questions about the use of the application. Unsure whether there’s a better way? Ask!
We are happy to brainstorm with your audit team!
You might be surprised by how often we learn that the outsourced team is struggling with a process handed down to them or that they have come up with their own processes without any guidance from their policyIQ account manager. Sometimes they pick the best way that we know of to manage their information. Sometimes, they do not. Our configuration guidance included in your subscription at no extra charge—be sure to connect them with the policyIQ support team!
Who is responsible for ongoing maintenance?
It is also important that you assign someone to take responsibility for maintenance. There are a number of tasks that we recommend performing routinely (we reminded you of them in a post last August). If you concerned about managing costs, it is critical that someone run a report of users and remove those users who have left the company or who no longer have responsibilities in policyIQ. Your outsourced team might not see this as a high priority—they don’t see the bill! Be sure that this item is on the checklist of to-do’s.
Another cost-saving tip…
Did you know that you do not have to pay for user licenses for RGP consultants? If your outsourced auditors are from RGP, contact us to change the settings so that you are not charged subscription fees for those auditors. If you’re interested in more information about how our consultant professionals can supplement or lead your team, get in touch with us and we’ll connect you with a representative in your area!
